Responsible Organization
- This department is responsible for administering the project
- Indicated on the proposal R&A form
- Overall administrative/management responsibilities include:
- Proposal preparation
- Inter-departmental coordination (if Investigators cross departmental lines)
- Technical reporting
- Budget management
- Award closeout

Research Expenditure Allocation by PI and Co-PI’s (the PI Credit Organization)
The PI credit organization allocation process recognizes the respective benefit to the project of the involvement of the listed individuals.
- R&A form provides for each Investigator: name, organization and percent
- If no percentage is indicated, expenses will be allocated evenly
- If requested, sub-funds can be established with different PI credit for each
- This information is entered in Banner and appears on new Notice of Award
- The allocations can be changed during a year and will be finalized for a fiscal year during the yearend review process described below

Fund Number Organization Default Code
- Each parent fund and sub-fund has an organization code default (fund default organization)
- The organization code default determines security for Banner access
- The responsible organizations will need to request Banner access for any sub-funds that default to codes outside their normal Banner access
- Project Summary reporting for all funds associated with an award is available on Rice Web Applications (access Rice Books/Financial Queries)

Annual Report of Expenditures by PI
- Admin Systems will forward to Research Accounting an annual summary of Research Funds Expenditures for the prior year
- Research Accounting will distribute the report first to the responsible organization for each project to verify the percentage distribution by PI
- After making requested changes, Research Accounting will distribute the report to the home organization of the Investigator for review
- After all changes have been made, the final report by PI credit organization will be made available to all departments

Note: Summary by PI -- Research Funds is available on Rice Web Applications (access Rice Books/Financial Queries). This presents a “snapshot” of the PI credit percentages; percentages and amounts for a FY are finalized and reported as described above.
